Before using the map

Community Map Notice & Privacy

Purpose. This is a community information project operated by Nexus IT Solutions to help evacuated residents share and find property-condition information. It is not an official emergency source, professional damage assessment, insurance assessment, or guarantee that a property is safe to enter.

Accuracy and emergency decisions. Government map layers and community reports can be delayed, incomplete, conflicting, wrong, or become outdated as conditions change. A report marked “moderator reviewed” means it was reviewed for suitability before publication; it does not mean the report has been independently verified or officially confirmed. Reports shown in blue have no photo evidence attached. They have still passed moderator review, but they have not been independently verified or officially confirmed. Do not rely on this site for evacuation, re-entry, travel, firefighting, insurance, legal, financial, or other safety-critical decisions. Follow RDOS, the District of Summerland, BC Wildfire Service, EmergencyInfoBC, police/fire authorities, and other official instructions.

Safety and property access. Do not enter evacuation-order areas, restricted roads, private property without permission, or unsafe areas to collect information for this map. The project does not ask or authorize anyone to do so.

Community submissions. Submit only information you believe in good faith to be accurate and that reflects the property’s post-fire condition or a later trusted confirmation. A property being intact before evacuation or while the fire was approaching is not a current-status report. Do not identify residents, disclose whether a home is occupied or vacant, list valuables/security details, or make accusations about who caused a fire or committed wrongdoing. Reports may be edited for privacy/safety, rejected, corrected, or removed.

Photos and content rights. Submit only photos/content you created or have permission to share. By submitting content, you grant Nexus IT Solutions a non-exclusive, royalty-free permission to store, process, resize/crop, reproduce, and review the submitted content solely to operate, moderate, document, and preserve this community map. Evidence photos are private to authorized moderators by default. If you separately choose the optional public-photo consent, you also authorize those submitted photos to be considered for public display with the report. Public consent does not guarantee publication: an authorized moderator must separately approve each photo before it can appear publicly. The project may keep a permitted photo private when publication would create a privacy/security concern or unnecessary distress, including harsh images of severe destruction, personal loss, injury/death, distressed animals, or other traumatic aftermath. The property status can still be shown publicly without the image. Exterior security/doorbell-camera stills are not automatically prohibited when the submitter owns/controls the camera or otherwise has permission and the image is suitable for unrestricted public viewing. Images showing the inside of a residence, valuables/layout, access/security details, or similarly sensitive private content remain private evidence only.

Privacy. A submission may collect the property/address, location, status, observation time, description, photos, the reporter’s name and contact information, and a one-way hashed network identifier used for abuse/rate-limit protection. Approved property details, descriptions, observation times, and source/verification labels may become public. Reporter name/contact and the hashed network identifier are never displayed publicly. Evidence photos remain moderator-only unless the submitter explicitly opted in to public-photo display and an authorized moderator separately approved the individual photo. Even with consent, the project may withhold photos that are security-sensitive, privacy-sensitive, traumatic, or unnecessarily distressing. Private evidence is not provided by the project to a person claiming to own the property, an insurer, media outlet, neighbour, or other third party. The project may, when appropriate, offer to relay a requester’s contact information to the original submitter without disclosing the submitter’s contact information or the evidence itself. Reporter name/email/contact may be seen only by authorized moderators and used for moderation, email verification, follow-up, corrections, abuse prevention, site integrity, and such contact-relay requests; it is not sold or published. Email verification confirms only access to the submitted mailbox; it does not mean the reporter's identity or the report itself has been verified, and no public “verified person” label is shown. An unverified submission is held outside the normal moderation queue for a limited time while verification is pending, then expires with its temporary evidence if it is abandoned. After successful verification, this browser may use a secure private verification cookie for about 30 days so the same email does not need to be verified for every report. If a submission is rejected for a fixable issue, the project may email standardized rejection reasons and a short moderator correction message to the reporter so they can correct or resubmit it. Internal moderator notes and private evidence are not included in that email. Map/GIS/tile providers may separately log ordinary web requests under their own policies.

Corrections, removal, and privacy questions. If a report is wrong, unsafe, infringes your rights, or contains personal information that should be removed, contact firemapmods@nexusitsolutions.ca. Nexus IT Solutions will review correction/removal requests and will retain personal information only as reasonably needed for the project, moderation, security, or legal/business purposes.

Limitation. Use of this community map is at your own risk. To the maximum extent permitted by law, Nexus IT Solutions and project volunteers are not responsible for loss, damage, delay, or decisions resulting from reliance on community reports, third-party map data, service outages, errors, omissions, or outdated information. Nothing in this notice limits any right, responsibility, or liability that cannot legally be limited.

This notice is intended as a practical community-project privacy/disclaimer notice, not a substitute for legal advice. It may be updated as the project changes.
